Not as a rule Oct 23, 2013

I have a couple of customers who prefer their invoices on paper, but generally they are sent out by e-mail with no paper copies kept. The accountant just gets a copy of our accounts software file so she does not need hard copies either.

both! Oct 23, 2013

My customers get PDF invoices, my accountant paper invoices.
trouble is, this means even less tax-deductible expenses as I no longer need very many envelopes or stamps!

No Oct 23, 2013

As a general rule, I don't print my invoices, but attach them as PDFs.

The only exception are walk-in customers. Exchanging a paper invoice for cash.

I was surprised to find such a low percentage in this capacity. In the days before computers and emails, everyone used to do this. But I suppose this result is because the vast majority of ProZ members have been in the profession for about 15 years or less.

A couple of dinosaur customers who never made it out of the Arc still insist on me sending them a paper invoice.

One even sends me the paperwork scanned into a PDF file, which I have to print out, sign (stamp with my seal, here in Japan), scan back into PDF format, and then send this back by e-mail.
Don't know about you, but I am always confused.

Others have on-line accounting systems, which saves everybody a lot of time and effort.

I print Oct 23, 2013

I print and send my invoices as well as forwarding them by e-mail because I don't have an electronic signature, which is something I must look into.

Only had to send a paper invoice once to a client but print off invoices for my own books and to give to the accountant who does my annual tax returns (and charged me 550 Euro last year for that).

One of these days I'll get to grips with a bookkeeping software package and do my own tax returns but never seem to have the time, or perhaps it's lack of inclination? I did a short bookkeeping course last year but it didn't really make me improve my practices!...

Me too.
For clients I only need pdfs.

before email came along but never these days. There's just no need.

It's like our sad little fax machine gathering dust in the corner. It must be ten years since it was last used.

In Germany, you need an original hardcopy of all invoices issued, and you have to keep them for 10 years - just in case!!!!

Some of my clients still require a printed invoice, which I send snail mail or deliver by hand if they aren't too far away.

As for backup copies, I don't usually print them for my own purposes, but I recently had to (grudgingly) print out a copy of all my bills for the past 3 years, at the behest of Hacienda. The Spanish tax authority is currently looking under every stone, no matter how small, trying to claw back cash from wherever it can. In my case, I made the mistake of not religiously keeping track of invoice receipts for everything I'd ever claimed VAT relief on, which means I now have to pay them a sizable chunk in lieu of what I'd hitherto assumed was exempt.

As they say here: "¡Pais!..."

Clients are issued invoices online.
The print-out of the invoice is just in case the tax department ever wants to see it. It also acts as the "control" document in the whole process - quite effectively, I should add.
