English to Czech: ABB Supplier Process Audit Questionnaire User Guide
Source text - English Questions
Pre-Production
1) Does the supplier have all latest ABB drawings and specs? Were they internally approved and distributed?
Intent: The Supplier should have a method to review, accept and communicate ABB’s requirements within the Supplier’s organization.
Evidence: Check for current revisions of the documentation, see if there is a control in place to ensure the Supplier can meet ABB’s requirements. How do they handle changes to the purchase requirements? What happens to obsolete information/documentation?
Comments: When the Audit is being conducted at a potential Supplier and there has not been any transmission of requirements, then the Auditor should look for examples from other Clients of the Supplier.
2) Does the Quality File include all specific ABB required documents?
Intent: We want to ensure that the Supplier has performed all of the necessary actions to create the documents required for a complete Quality File.
Evidence: Check that all documents are available and specific to the ABB supply item. The list of required documents is explained in the Supplier Requirements document.
Comments: It is suggested that you inform the Supplier prior to the audit that you will be following up on the existence of these documents. That reinforces the expectation of what you require.
3) Are open engineering issues addressed with an appropriate action plan?
Intent: This question prompts the Auditor to determine how the Supplier is addressing any open engineering issues with the item to be supplied.
Evidence: The preferred result is for the Supplier to have a method to document all issues related to the supplied item. It should include responsible person, due date for resolution, etc. Informal systems are prone to mistakes and this could result in ABB’s requirements not being met.
Comments: If there are no open issues with ABB’s item, then ask for evidence from another customer. This also applies to any changes we communicate to an existing source of supply.
4) How does the supplier incorporate learning from field experiences into their engineering activity?
Intent: We want to see how the Supplier gathers and uses field information from their customers. This gives us an indication of the maturity of their product management activities.
Evidence: Look for quantified data of field results, failures, service calls, spare parts orders, etc. Then you will want to see how the Supplier uses this data in their product design/improvement activities, or in the design/improvement of internal processes.
Comments: You may start with the quality responsible with this discussion, but you will need to talk with the Supplier’s engineering or product management personnel.
5) Does the Supplier have a well defined process flow chart?
Intent: This is a check of their usage of process methodology. We want to see evidence that they identify their work streams as ‘processes’ with documented inputs, outputs, controls, etc.
Evidence: The Supplier should be able to show you a flow chart for their business. It may be separate charts for each process, or one large chart for the whole operation. Flowcharts can be aligned by product, order or functional department.
Comments: It is not important that the flowchart be of a specific style or format. Check to see if the flowchart is detailed enough for you to follow the actions that are performed in fulfilling ABB’s order.
6) Has a Process Failure Mode Effects Analysis been performed? Are the corrective actions documented, implemented and effective?
Intent: This question allows the auditor to see if the Supplier has analyzed the process for delivering our item and identified where the process could fail, what preventative actions are in place and determined their effectiveness. Only the most mature organizations have taken their operations to this level, where they routinely perform FMEA’s on their internal processes.
Evidence: The Supplier should be able to show you a copy of the Process FMEA form with completed information for the specific process. Look to see what they identified as the highest priority failures and if they determined that any changes needed to be implemented to the process. Look for evidence like a revised procedure or work instruction to see that the change was made to the process.
Comments: This question does not apply if ABB has not requested the Supplier perform a Process FMEA. If “Not Applicable”, but the Supplier has performed FMEAs, it should be noted in the comment area.
7) Has the supplier approved internally its process before submitting Control Plan to ABB?
Intent: We want to make sure that the Supplier’s processes have been reviewed and approved by all functions involved. Also ensure that any one person cannot take it upon themselves to change or deviate from the work process without authorization.
Evidence: Look for signatures or other means of approval from a ‘Process Owner’. This might be the team leader, a department supervisor or manager, or even the Quality Manager. But you should see some method of approval of the process.
Comments: Check in the quality management system for process definition and approvals. This is typically where the Supplier will keep their formal documentation.
8) Has Control Plan been submitted and accepted by ABB?
Intent: A Control Plan is a required document; the Supplier should have submitted a Control Plan to us prior to the audit.
Evidence: A completed control plan that is accepted by ABB and lists in detail all of the checks that are performed during the order fulfillment process.
Comments: This requirement should be reinforced with the Supplier prior to the audit. Acceptance of the control plan does not imply that we have ‘certified’ their process. It only represents that we do not require further revision of the Control Plan document. Details are important in the proper completion of a Control Plan. There should be a relationship between our specifications and checks that are performed and listed in the control plan.
9) Are there any major differences between the Control Plan and the actual process or controls?
Intent: Control plans should represent the current process and activities contained therein. If the Control Plan is not up-to-date, or does not reflect the actual work activity, then the Supplier does not have good control over their processes.
Evidence: As you audit the Supplier, you will observe that the checks listed on the Control Plan are performed as documented. If you see some activity that is not listed, then ask for an explanation.
Comments: Have a copy of the Control Plan with you during the audit so that you can refer to it.

Záměr: Dodavatel by měl mít metodu k revizi, přijímání a sdělování požadavků ABB uvnitř své organizace.
Doklady: Zkontrolujte aktuální revize dokumentace. Zjistěte, zda je zavedena kontrola zajišťující, že dodavatel splňuje požadavky ABB. Jak zpracovávají změny v požadavcích na nákup? Co se děje s neaktuálními informacemi/dokumenty?
Komentáře: Pokud je audit prováděn u potencionálního dodavatele a ještě nedošlo k přenosu požadavků, auditor by měl vyhledat příklady u ostatních klientů dodavatele.
2) Obsahuje soubor kvality všechny specifické dokumenty požadované ABB?
Záměr: Chceme se ujistit, že dodavatel podnikl veškeré potřebné kroky k tomu, aby vytvořil dokumenty potřebné pro vytvoření úplného souboru kvality.
Doklady: Zkontrolujte, zdali jsou všechny dokumenty dostupné a specifické pro položku dodávanou pro ABB. Seznam vyžadovaných dokumentů je vysvětlen v dokumentu Požadavky na dodavatele.
Komentáře: Doporučuje se, abyste ještě před provedením auditu informovali dodavatele o tom, že budete zakládat na existenci těchto dokumentů. To posiluje očekávání toho, co požadujete.
3) Jsou technické problémy řešeny pomocí vhodného akčního plánu?
Záměr: Tato otázka podněcuje auditora, aby zjistil, jak dodavatel řeší jakékoliv otevřené technické problémy ohledně položky, která se má dodávat.
Doklady: Preferovaným výsledkem je, že dodavatel má metodu k dokumentaci všech problémů ohledně dodávané položky. Měla by zahrnovat odpovědnou osobu, termín vyřešení atd.
Neformální systémy jsou náchylné k chybám, což může vést k nesplnění požadavků ABB.
Komentáře: Pokud s položkou ABB nejsou žádné otevřené problémy, požádejte o doklady od jiného zákazníka. Toto se také vztahuje k jakýmkoliv změnám, které sdělujeme existujícímu zdroji dodávek.
4) Jak dodavatel začleňuje poznatky z terénních zkušeností do vlastní inženýrské činnosti?
Záměr: Chceme zjistit, jak dodavatel sbírá a využívá terénní informace od svých zákazníků. To nám poskytuje informace ohledně zralosti jejich činností v produktovém managementu.
Doklady: Vyhledejte kvantifikovaná data terénních výsledků, neúspěchů, servisních zásahů, objednávek náhradních dílů atd. Poté si zjistěte, jak tato data dodavatel využívá ve svých činnostech designu/zlepšování produktů, nebo v designu/zlepšování interních procesů.
Komentáře: Tento rozhovor můžete začít s člověkem odpovědným za kvalitu, avšak budete potřebovat mluvit s technickými pracovníky nebo pracovníky produktového managementu.
5) Má dodavatel dobře definovaný vývojový diagram procesu?
Záměr: Toto slouží jako kontrola využití metodiky procesu u dodavatele. Chceme vidět doklady o tom, že označují své pracovní toky jako "procesy" spolu s dokumentovanými vstupy, výstupy, kontrolami atd.
Doklady: Dodavatel by měl být schopen ukázat vám vývojový diagram podniku. Mohou to být různé diagramy pro každý proces, nebo jeden velký diagram pro celou operaci. Vývojové diagramy mohou být sladěny podle produktu, objednávky nebo funkčního oddělení.
Komentáře: Styl či formát vývojového diagramu nehraje roli. Zkontrolujte, jestli je vývojový diagram dostatečně podrobný, tj. jestli chápete úkony vykonávané při plnění objednávky ABB.
6) Byla provedena analýza možného výskytu a vlivu vad? Jsou dokumentována a prováděna nápravná opatření? Jsou efektivní?
Záměr: Tato otázka umožňuje auditorovi poznat, jestli dodavatel analyzoval proces dodávky naší položky a jestli označil místa, v nichž může dojít k selhání, a také jaká jsou zavedena preventivní opatření a jestli dodavatel zjistil jejich efektivitu. Pouze ty nejvyzrálejší organizace pozvedly své operace na tuto úroveň, tj. že běžně aplikují FMEA (analýza možného výskytu a vlivu vad) na interní procesy.
Doklady: Dodavatel by měl být schopen předložit kopii formuláře FMEA procesu spolu s úplnými informacemi ohledně tohoto procesu. Zjistěte, co označili za selhání s nejvyšší prioritou a jestli určili, že je třeba zavést v procesu změny. Vyhledejte doklady jako např. revidovaný postup či pracovní pokyny, abyste zjistili, jestli byla v procesu provedena změna.
Komentáře: Tato otázka se nepoužije, pokud ABB nepožádala dodavatele o provedení FMEA procesu. Pokud otázku určíme jako "nevztahuje se", ale dodavatel provedl FMEA, mělo by to být zaznamenáno v komentáři.
7) Schválil dodavatel interně svůj proces před tím, než předložil kontrolní plán ABB?
Záměr: Chceme se ujistit, že procesy dodavatele byly zkontrolovány a schváleny zaměstnanci na všech odpovědných místech. Také se ujistěte, že žádný jednotlivec nemůže bez oprávnění změnit výrobní proces nebo se od něj odchýlit.
Doklady: Hledejte podpisy či jiné prostředky schválení od "vlastníka procesu". Tím může být vedoucí týmu, vedoucí oddělení či manager, nebo dokonce vedoucí oddělení kvality. Měli byste však vidět určitou metodu schvalování procesu.
Komentáře: Vyhledejte si v systému řízení jakosti definici procesu a oprávnění. Tam si dodavatel typicky uchovává svou formální dokumentaci.
8) Byl kontrolní plán předložen ABB? Byl schválen?
Záměr: Kontrolní plán je vyžadovaný dokument. Dodavatel by nám měl dodat kontrolní plán ještě před začátkem auditu.
Doklady: Vypracovaný kontrolní plán, který je přijatý ABB a který obsahuje detailní popis všech zkoušek, které jsou prováděny během procesu plnění objednávky.
Komentáře: Tento požadavek by měl být dodavateli zdůrazněn před auditem. Z přijetí kontrolního plánu nevyplývá, že jsme "certifikovali" jejich proces. Znamená to pouze, že nevyžadujeme další revizi kontrolního plánu. Pro správné vypracování kontrolního plánu jsou důležité detaily. Měl by existovat vztah mezi našimi specifikacemi a kontrolami, které jsou vykonávány a uváděny v kontrolním plánu.
9) Existují významné rozdíly mezi kontrolním plánem a vlastním procesem či kontrolami?
Záměr: Kontrolní plány by měly představovat aktuální proces a činnosti v něm obsažené. Pokud není kontrolní plán aktuální nebo neodráží vlastní pracovní činnost, pak dodavatel neřídí dobře své procesy.
Doklady: Při auditu dodavatele si všímejte, jestli jsou kontroly uvedené v kontrolním plánu prováděny tak, jak jsou dokumentovány. Pokud zaznamenáte činnost, která není uvedena, požádejte o vysvětlení.
Komentáře: Během auditu mějte s sebou vytištěnou kopii kontrolního plánu, abyste se na něj mohli odkazovat.
